Sentient Bean LLC ("we," "us") respects your privacy. This policy explains what data we collect, how we use it, and your rights regarding that data. It covers all Sentient Bean services including sentientbean.net, Beansuite applications, our SaaS products (OrderItPro, PayForItPro, MarketItPro, Sentient Brewer), and the Sentient Bean Music Store.

2. Data We Collect

Information You Provide

  • Contact forms: Name, email address, and message content when you reach out to us.
  • Account registration: Email, name, and password when creating an account on our SaaS products.
  • Store purchases: Name, email, shipping address, and payment information (processed by Stripe — we never see or store your full card number).
  • Artist submissions: Artist name, email, bio, website, and uploaded artwork/audio files.

Information Collected Automatically

  • Analytics: Page views, referrer URLs, browser type, and approximate location (country-level). We use Google Analytics and a lightweight custom analytics system.
  • Server logs: IP addresses, request timestamps, and user agent strings for security and operational purposes.

Information We Do NOT Collect

  • Beansuite desktop apps run entirely on your computer. We do not collect, transmit, or store any of your documents, files, email content, passwords, or personal data from Beansuite applications. Your data stays on your device.
  • We do not sell personal data to third parties.
  • We do not use tracking pixels in emails.

3. How We Use Your Data

  • To respond to your inquiries and provide customer support
  • To process orders and manage your account
  • To fulfill physical media orders through our manufacturing partner
  • To improve our products and services
  • To send transactional emails (order confirmations, shipping updates)
  • To detect and prevent fraud or abuse

We do not use your data for unsolicited marketing emails. We will only send marketing communications if you explicitly opt in.

4. Third-Party Services

We use the following third-party services that may process your data:

  • Stripe — Payment processing. Subject to Stripe's Privacy Policy.
  • Google Analytics — Website analytics. Subject to Google's Privacy Policy.
  • Kunaki — Physical media manufacturing and shipping. Receives only the shipping name and address necessary to fulfill your order.

5. Data Retention

  • Contact messages: Retained indefinitely for business records, or until you request deletion.
  • Order data: Retained for 7 years for tax and legal compliance.
  • Analytics data: Aggregated analytics are retained indefinitely. Individual page view records are purged after 1 year.
  • Account data: Retained while your account is active. You may request deletion at any time.

6. Data Security

We protect your data with:

  • HTTPS/TLS encryption on all websites
  • Hashed passwords (bcrypt) — we cannot see your password
  • CSRF protection on all forms
  • Regular security updates to our server software
  • Access controls limiting who can view customer data

7. Your Rights

You have the right to:

  • Access — Request a copy of the data we hold about you.
  • Correction — Request correction of inaccurate data.
  • Deletion — Request deletion of your data (subject to legal retention requirements).
  • Portability — Request your data in a machine-readable format.

8. Cookies

We use minimal cookies:

  • Session cookies — Required for login, CSRF protection, and form submissions. These expire when you close your browser.

We do not use advertising cookies or cross-site tracking.

9. Children's Privacy

Our services are not directed at children under 13. We do not knowingly collect data from children. If you believe a child has provided us data, contact us and we will delete it promptly.
